CLIENT AGREEMENT


A. FEES

a. Travel Management Fee

Next Exit Travels requires a non-refundable Trip Design Fee to initiate each trip. This fee secures your place in our active planning portfolio and covers the full scope of our services, including research, custom itinerary design, partner coordination, revisions, and support from initial inquiry through your return home.

The Trip Design Fee is charged upon our mutual agreement to move forward with planning and is required prior to the start of any itinerary work.

b. Cancellation / Postponing Trip Policy

We understand that travel plans may change due to unforeseen circumstances. The Trip Design Fee is non-refundable.

If a trip is canceled after deposits have been made, a $250 per traveler cancellation fee will apply. Within 30 days of departure, a $250 per traveler fee plus 10% of the total trip cost will be charged. These fees will be processed using the card on file.

If you choose to postpone your trip, the Trip Design Fee may be applied to new dates for the same destination and overall itinerary.

Changes to destination, scope, or trip design will require a new Trip Design Fee.

All cancellation fees charged by Next Exit Travels are in addition to any penalties imposed by hotels, airlines, or other suppliers. Travel insurance may provide coverage for eligible cancellations.

Please note that any changes to travel dates are subject to current availability and pricing at the time of rebooking. Revised dates are also subject to advisor availability and planning capacity, and Next Exit Travels reserves the right to decline or limit planning services if the new scope or timing falls outside of our availability or planning parameters.

Hotels and travel partners do not typically honor original rates for new dates, and revised pricing, room categories, and inclusions may vary. Any increase in cost will be reflected in the updated proposal.

c. Additional Design Scope

Adding or changing destinations after an initial proposal will incur an additional Trip Design Fee, starting at $250 and subject to the scope of work.


B. FLIGHTS

a. Ticketing Fee + Flight Changes

Flights ticketed through Next Exit Travels or our Air Desk incur a $75 per person ticketing fee, which may be waived depending on the airline and class of service.

Changes or refunds requested more than 24 hours after ticket issuance will incur a $75 per ticket service fee, in addition to any airline-imposed penalties, fare differences, or restrictions.

Airfare is dynamic and subject to change until ticketed. Pricing and availability cannot be guaranteed until tickets are issued and paid in full.

b. Independent Flight Bookings

If you choose to book flights independently using points or cash, you are responsible for managing all changes, cancellations, seat assignments, and airline communication.

Next Exit Travels does not monitor independently booked flights and is not responsible for schedule changes, delays, cancellations, or missed connections related to those bookings.

It is essential that you notify your travel advisor of any flight details or changes so we can maintain an accurate itinerary.

Any disruptions to your itinerary resulting from independently booked flights may require adjustments to ground services, which may incur additional fees.

c. Flights Purchased Through Next Exit Travels

If your flight is booked through Next Exit Travels and is changed, canceled, or missed, please contact the emergency air support team listed in your itinerary prior to purchasing any new tickets.

Our team and air partners will assist in re-accommodation to the extent possible based on airline policies and availability.

d. Schedule Changes & Airline Control

Airlines reserve the right to change flight schedules, aircraft, and routing at any time. Next Exit Travels is not responsible for these changes but will assist in navigating alternative options when possible and when flights have been booked through our Air Desk.

Any additional costs resulting from airline changes are the responsibility of the client unless otherwise covered by the airline or travel insurance.


C. ACCOMMODATIONS

a. Hotel-Only Bookings

For hotel-only bookings, Next Exit Travels waives the Trip Design Fee and secures preferred partner amenities and VIP benefits where available.

Reservations booked independently using points, credit card travel portals (including American Express Travel), or other third-party booking platforms are not managed by Next Exit Travels. As such, we are unable to provide modifications, support, VIP benefits, or advocacy on those reservations.

b. Hotel Proposal + Quotes

Full itinerary proposals will include a curated selection of 2–3 hotel options per destination, thoughtfully aligned with your preferences, travel style, and overall trip flow.

Rates are quoted at Best Available Flexible Rates, which allow for preferred partner amenities, upgrade priority, and greater flexibility.

Discounted, non-refundable rates are not typically offered, as they limit flexibility and benefits and do not align with our planning approach.

Next Exit Travels does not price match online discount booking platforms or third-party rates.

c. Villa, Apartment & Vacation Rentals

Next Exit Travels works with a curated portfolio of vetted villa and rental partners globally to ensure quality, service, and reliability.

We do not coordinate bookings through Airbnb, VRBO, or other independently managed platforms.

Villa and rental bookings may carry additional terms, including stricter payment schedules, security deposits, and cancellation policies, which will be outlined at the time of booking.


D. CLIENT RESPONSIBILITY

a. Review of Information

Clients are responsible for reviewing all correspondence, proposals, confirmations, and itinerary details in a timely manner.

All communications requiring a response or decision will include a specified deadline. If responses are not received by the stated deadlines, portions of the itinerary may be impacted, including the release of held space, changes to availability and pricing, or the inability to coordinate certain elements such as dining and activities. Additional planning fees may apply for any required revisions.

b. Travel Documentation

Clients are solely responsible for ensuring all travelers have valid passports, visas, and required documentation for travel.

Passports must be valid for at least six (6) months beyond the return date and meet all destination-specific requirements. Next Exit Travels is not responsible for any issues arising from failure to meet entry or documentation requirements.

c. Client Provided Documents

Clients are required to provide a completed traveler profile for each traveler, along with copies of valid passports and/or other government-issued identification as requested.

All information must be submitted accurately and by the given deadline to avoid delays in securing reservations and services.

Next Exit Travels is not responsible for errors resulting from incomplete, outdated, or incorrectly provided client information.

d. Time-Sensitive Planning, Availability & Response

Travel planning is time-sensitive. Availability and pricing for hotels, experiences, and services are not guaranteed until confirmed with a deposit and are subject to change at any time.

To maintain momentum and secure preferred options, clients agree to respond to proposals and key planning items within the following timeframes:

Initial proposals require a response within 5 business days
If no response is received within 10 business days, the proposal will be considered inactive and subject to closure

Delays in communication may result in lost availability, increased pricing, or the need to redesign portions of the itinerary.

For concierge arrangements, including dining reservations, spa appointments, and certain activities, final selections must be submitted no later than 30 days prior to departure. This timeline allows our team and partners to secure the best availability and confirm all pertinent details in advance of travel.

Requests received after this time fall outside of our planning scope and cannot be fulfilled. In such cases, we will connect the client to the appropriate concierge for assistance.

Next Exit Travels reserves the right to pause or discontinue planning services if communication becomes significantly delayed.


E. WORKING HOURS & COMMUNICATION

a. Working Hours

The Next Exit Travels team is available Monday through Thursday from 9:00 AM to 4:00 PM CT, and Friday from 9:00 AM to 12:00 PM CT.

Calls, emails, and messages received outside of these hours will be addressed the following business day. We aim to respond to all communications within 48 business hours, excluding weekends and holidays.

b. Communication Channels

All communication between the client and the Next Exit Travels team should take place through official channels, primarily via email or scheduled phone calls.

c. On-the-Ground Support

While traveling on a Next Exit Travels itinerary, the most efficient way to receive support is by contacting our on-the-ground partners in your destination. Their contact information will be included in your final travel documents.

Messages sent to the Next Exit Travels team during travel will be returned during business hours.

For urgent matters that cannot be resolved by your hotel, tour operator, or airline, you may contact Haleigh directly.


F. TOUR COMPANY PRICING

Next Exit Travels partners with trusted tour operators and destination management companies worldwide to design and facilitate your travel experiences.

Due to the proprietary nature of their contracts and pricing structures, itemized breakdowns of services are not available.


G. INSURANCE

Travel insurance is strongly recommended to protect against trip interruption, cancellation, medical expenses, and other unforeseen events.

Insurance is not required unless mandated by the destination. For destinations requiring coverage, quotes will be provided automatically.

Coverage for certain events, including but not limited to acts of war, civil unrest, government restrictions, and global disruptions, may be limited or excluded depending on the policy. Clients are responsible for reviewing policy details and understanding any exclusions.

To ensure eligibility for pre-existing condition coverage, insurance should be purchased within 21 days of the initial trip deposit.

Next Exit Travels is not responsible for losses due to weather, illness, pandemics, acts of God, acts of war, or other unforeseen disruptions. Clients are responsible for reviewing and understanding the terms and coverage of their selected policy.

If travel insurance is declined, the client assumes full financial responsibility for any cancellations, delays, interruptions, or changes affecting the trip.

Clients who decline travel insurance may be required to sign a waiver acknowledging that they have been advised of the risks and have chosen to proceed without coverage.


H. DISCLAIMER

Next Exit Travels, LLC (“Next Exit Travels”) and its representatives, agents, officers, directors, employees, affiliates, and insurers act solely as a booking agent for travel services and related products based upon the criteria supplied by you.

Therefore, Next Exit Travels disclaims all responsibility regarding the actual travel services and related products that are purchased. Once a booking is completed through Next Exit Travels, any funds received from you are sent directly to the actual supplier of the service or product.

If you have a complaint with or about the actual supplier, you cannot hold Next Exit Travels responsible. Any acts, errors, or omissions of independent suppliers (such as airlines, cruise lines, tour or ground operators) are not the responsibility of Next Exit Travels.

Under no circumstances will Next Exit Travels be or become liable or responsible for any illness, injury, or damage (including consequential and incidental damages) to persons or property in connection with any accommodations, transportation, or other services or products to be purchased, even if those services are canceled, delayed, or not available at the time of travel.

Under no circumstances will Next Exit Travels be liable or responsible in any way for any acts of third parties that disrupt or prohibit the receipt of any service or products, such as riots, strikes, acts of terrorism, overbooking, weather, or other events.
